We're looking for a Finance Assistant to join our friendly team here at St Luke's.

Job Title:                 Finance Assistant (Sales & Billing)

Responsible to:        Finance Manager

Salary:                     £19000 per annum pro rata rising to £20,000 after successful probation period.

Part time:                 A total of 16 hours per week (working hrs to be agreed) – (0.427 FTE)

Location:                  St Luke’s Community Centre, 90 Central St, London EC1V 8AJ

Purpose of Job/Key objectives

Support the Finance Manager in maintaining the day to day finances of the organisation (St Luke’s Parochial Trust and St Luke’s Trading Ltd). with particular responsibility for Sales Ledger and Credit Control.  Assembling and recording organisational financial information including maintaining financial records, processing payments and receipts, and cash handling.

Role of the Finance department

Provide a complete finance service to the whole organisation, addressing all issues of a financial nature and providing all relevant information to meet external demands. These services may include, but are not limited to, any of the following: maintaining an accurate financial record using QuickBooks, reporting and control, income management, financial reporting to budget holders and external bodies, debtor and creditor account management, annual accounts preparation, supporting budget holders in matters of finance. The accounts are multi-cost centred with a wide range of income streams and activity.

Principal Duties/Tasks and responsibilities

Primary responsibilities for Sales invoices and billing:

  • Work closely with the Finance Manager and other Finance Assistant to ensure smooth operation of all finance matters
  • Raise sales invoices from booking forms
  • Resolve customer finance related queries
  • Liaise with Booking Team regarding any customer related issues
  • Maintain paper records, filing and archiving etc.
  • Credit control, monitoring debtors and following up overdue invoices. – reporting to Finance Manager any of concern.

Other tasks may include, as required:

  • Cover for Finance Manager and or other Finance Assistant
  • Support the Finance Manager by inputting into QuickBooks sales and purchase ledgers from source documents, assigning to cost centre and project as applicable
  • Match purchase invoices to statements
  • Bank statement Reconciliation
  • Maintain Petty Cash Box, - reconcile with QuickBooks
  • Assist in the production and preparation of spreadsheets, reports and correspondence as required
  • Assist with Payroll and pension
  • Support staff team in financial matters
  • Assist as appropriate with end of year accounts preparation and procedures
  • Undertake any other duties that may be deemed appropriate to this role

Person specification


  • Basic understanding of accounting processes and procedures
  • Understanding of VAT
  • Good level of competence in Excel, Word and Outlook and computerised accounting software
  • Numerate, with a good attention to detail and ability to spot errors
  • Good organisational skills used in planning and managing own work load
  • Self-motivated and enthusiastic
  • Ability to work under pressure and meet targets and deadlines
  • Good communication and listening skills
  • Calm and professional disposition
  • Good problem solving ability
  • Awareness of the provisions of the Data Protection Act and be able to apply these within the organisation


  • A recognised finance qualification
  • Working knowledge of Quickbooks
  • Understanding of the Not for Profit/ Charity sector and its financial requirements
  • Experience of working in a multi-activity, multi-cost centred organisation
  • Experience of working within a finance department
